Who Uses Industrial-Grade Departmental Scanners?

They digitize documents in administrative departments, finance, human resources, and healthcare. City governments use these devices for digital scans of police department booking records, planning department permits, property records, finance department checks, check journal vouchers, city clerk planning resolutions, and meeting minutes.1 British Airways digitized 65 million engineering records to allow their business to manage their data more efficiently, reduce hard copy paper files, consolidate supplier contracts, and provide cost savings. A digital database record allows engineers to perform 'free text' searches and quickly transfer records to future operators.2 Digital scanners are a best practice for document delivery and resource sharing among libraries.3 Radiotherapy found that using these types of scanning devices provided automated processing. Scanners using software algorithms digitize paper documents "with varying type, within a single scanning procedure, into [their] departmental system. The system identifies and corrects for any arbitrary order or rotation of scanned pages. Finally, after the transfer into the departmental system, all documents are in the correct order, and they [automatically link] to the respective patient record."4

Scanner Selection Criteria

#1   Scan Speeds

Faster scan speeds that reduce user interaction and wait times are always the most desirable criteria. Ricoh scanners measure scan speeds in pages per minute (ppm) with single-sided scans and in images per minute (ipm) for duplex scans.

#2   Scan Resolution

The document scan resolution refers to the image quality and file size. Most Ricoh scanners have an optical resolution of 600 dots per inch (dpi) or better.

#3   Connectivity

All Ricoh scanners have USB connectivity for connection with a personal computer. Some models have Wi-Fi and Ethernet connectivity. The fi-7460 and fi-7480 utilize USB ports. The fi-8290 Flatbed Scanner uses an Ethernet connection.

#4   Document Handling

Ricoh departmental scanners all come with an automatic document feeder (ADF). These feeders accommodate wide-format documents as well as business card-size documents. The ADF capacity for each scanner is 100 documents. Some organizations require digitizing diverse media, including thick items that will not pass through an ADF. In these cases, a combination of an ADF scanner and a flatbed scanner can accommodate various media types. The Ricoh fi-8290 flatbed scanner can adjust to more media types than a typical A3 document scanner.

#5   Daily Duty

The number of documents scanned daily is an essential consideration for most businesses. Depending on the model, the Ricoh Department-Grade Printers can handle between 13,000 to 24,000 scans daily.

#6   Environmental Compliance

These Ricoh document scanners comply with the Energy Star RoHS certification.
